Village Hall Roof Repair (VHRR) Committee meeting

22 July 2021 @17:00

  1. Present: Ady (AW), Rob (RW), Stu (SC), Cherie (CH), Kev (KB), GS (Graham Stokes, ARMA)
  2. Apologies:
  3. The purpose of this meeting was to meet with the preferred roofing contractor, Graham from ARMA roofing to discuss any issues or concerns he may have. As such there was no fixed agenda, the below is a brief summary of the discussion.

  1. GS advised the current lead time for roofing tiles is up to 16 weeks. It was discussed that with such a long lead time it would be good to order all the materials ASAP. AW informed the committee that currently we don’t have a confirmed route to full funding although we are pursuing two avenues through a National Lottery grant or a PWB loan. GS said he would be happy to order the materials at his own risk as he knew that if this project was cancelled there is a national shortage of roofing materials and he would be able to sell the materials on.
  2. GS also advised that the price of the wooden lats has increase considerably which would probably increase the cost of the job by around £2000. GS was asked to provide an updated quote so it could be forwarded to the National Lottery.
  3. GS advised that the job would take approximately 6 weeks to complete, weather dependent. There followed a discussion that during this period GS would have a key and sole access to the hall. The hall would be used to store the solar panels and the kitchen and toilets could be used by the workmen. AW will consult with the VHMC to advise users that the hall will be closed during this period and to consult with the Scouts to see if some of the regular users could use the scout hut.
  4. GS asked exactly which roof tile we would like, in return we asked what he would recommend. His response was a standard double pantile. We requested he sent through a spec sheet for us to view before making a final decision. Afternote: Since the meeting GS sent through the spec sheet and the committee have confirmed it suitable. The spec was also sent to WL building control and the original build designer, both have confirmed the tile is suitable for our roof and is well within the permitted loading for the structure.
  5. KB asked GS some questions to gain the information to complete the pre-construction phase plan.
